Introduction

This Privacy Policy explains how EntryThingy ("we", "us", or "our") collects, uses, and protects information from users of our platform. It covers artists, galleries, jurors, and anyone who visits our website.

This policy works alongside our Terms of Service and GDPR Policy. If you're in the EU, the GDPR policy includes additional rights specific to you.

What We Collect

Account Information

When you create an account, we collect your name, email address, and password (stored encrypted). Galleries also provide organization name, website, and location.

Profile and Submission Data

Artists may provide artist statements, biographies, CVs, contact details, and artwork images. This information is used to facilitate submissions to galleries.

Payment Information

We do not store credit card numbers. Gallery subscriptions are processed by Stripe. Entry fees are processed through galleries' own PayPal accounts — we don't handle or have access to those payment credentials.

Technical and Usage Data

When you use EntryThingy, we automatically collect:

  • IP address and browser information
  • Pages visited and features used
  • Device type and operating system

We use analytics services (see "Third-Party Services" below) to understand how people use our platform.

How We Use Your Information

  • To operate the platform: Account management, submissions, notifications
  • To process payments: Gallery subscriptions via Stripe
  • To send emails: Submission confirmations, account updates, and platform announcements via Postmark
  • To improve the platform: Analytics and usage patterns help us make EntryThingy better
  • To promote EntryThingy: We may use submitted content (such as artwork images) in marketing materials, social media, or case studies to showcase the platform. We will not sell your artwork. See our Terms of Service for full details on this license.
  • To provide support: Responding to questions and troubleshooting issues

How Your Data Is Shared

With Galleries You Apply To

When you submit to a gallery's call for entry, your submission data — including your name, contact details, artist statement, CV, and artwork — is shared directly with that gallery. The gallery becomes the data controller for your submission data. We facilitate the transfer, but we cannot control how galleries use your information after they receive it.

With Jurors

Galleries may grant jurors access to your submissions for review purposes. In blind jury mode, your identifying information is hidden from jurors.

With Third-Party Service Providers

We use the following services to operate EntryThingy:

  • We do not rent or trade your data with third parties for marketing

EntryThingy uses cookies and similar technologies to:

  • Keep you logged in
  • Remember your preferences
  • Understand how people use the platform (via Seline)

You can control cookies through your browser settings. Disabling cookies may affect platform functionality (like staying logged in).

How We Protect Your Information

We implement reasonable security measures to protect your data, including:

  • Encryption during transmission (TLS/SSL)
  • Encryption at rest (via our infrastructure providers)
  • Access controls and authentication
  • Secure password storage (hashed, not stored in plain text)

Data Retention

We retain your data for as long as your account is active or as needed to provide our services. If you delete your account, we will remove your data within a reasonable timeframe, except:

  • Data already shared with galleries through submissions (which they control)
  • Data we're required to retain for legal or compliance reasons
  • Aggregated, anonymized data that can no longer identify you

Children's Privacy

EntryThingy requires users to be at least 18 to create an account. Users between 13-17 may use the platform with parental consent. We do not knowingly collect information from children under 13.

International Users

EntryThingy stores and processes data in the United States. By using our platform, you consent to your data being transferred to and processed in the US. For EU users, please see our GDPR Policy for information about your additional rights and the safeguards we have in place.

Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we'll update the date below and may notify you via email. We encourage you to review this page periodically.
